Personal AI Setup

Most people use AI as a smarter Google. It can be a member of your team.

The difference between someone who gets real leverage from AI and someone who gets nicer paragraphs isn't the model, the prompt, or the subscription tier. It's whether the setup treats AI as a colleague — with memory, permissions, routines, and judgment about when to act versus wait. This page walks through what that setup actually looks like.

50 minutes, 1:1, online. Same booking as the rest of my coaching.

The gap isn't which tool you're using. It's how you set it up.

Two people can have the same subscription and get wildly different results. It comes down to whether AI has enough context to actually help, or has to guess from scratch every time.

What most people ask AI to do
  • "Write an email to a client"
  • "Summarise this document"
  • "Brainstorm ideas for a campaign"
  • "Rewrite this to sound more professional"
  • "Explain this concept to me"
What a properly set-up AI does
  • Drafts email replies in your voice, from the actual thread
  • Runs your weekly reporting routine every Friday, unprompted
  • Remembers your clients, your positioning, how you write
  • Handles the small stuff — waits for approval on the consequential
  • Connects to the tools you already use, with permissions you set

Four things a real AI setup needs to do.

Not sixteen features to memorise. Four capability areas that separate "an app I open sometimes" from "a member of my team." This is the actual syllabus.

01 · Doing the work
Complete a task end to end, not one step of it.
Most people stop at "AI helped me draft this." A proper setup goes further — running the whole workflow with checkpoints, so what comes out the other side is something you can actually send, book, or file.
  • Online tasks — filling forms, booking, checking status
  • Purchases — comparing, staging, buying with approval
  • Email replies — in your voice, with the right context
  • Travel — booking, changes, check-in
02 · Working alongside you
Show up ready, not from zero every time.
The biggest single upgrade to how AI feels: giving it persistent memory of your work, and letting it run recurring things without you re-asking every time. This is the step almost everyone skips.
  • Memory — of your preferences, projects, people
  • Routines — recurring work that just happens
  • Proactive behaviour — nudges when they help
  • Restraint — waiting when the stakes are real
03 · Living in your stack
Connected to your actual tools, not a separate island.
An assistant that can only work in its own chat window solves half the problem. The version that reaches into your calendar, inbox, notes and docs is the one that actually saves you time — provided you control what it can see and what it can do.
  • Connected apps — calendar, inbox, notes, files
  • Permissions — scoped access and hard limits
  • Phone calls — making calls on your behalf where useful
  • Group work — showing up in shared threads too
04 · Judgment
Knows when to act, when to ask, when to stop.
The dimension that most cheap tutorials miss — because it isn't a feature, it's a way of setting things up. A well-configured AI knows what "done" looks like, doesn't invent facts to fill gaps, and asks before doing anything irreversible.
  • Recommendation quality — actually good, not just plausible
  • Multi-step chains — strings tasks together correctly
  • Creative output — images, video, briefs on request
  • Voice — sounds like you, not like a form

Rate your current setup honestly.

Ten quick checks against the framework above. Tick each one your AI setup can actually do today — not what the model could theoretically do, what yours does. Score updates as you tick.

Self-assessment · nothing stored, nothing sent
Your AI knows how you write and can draft in your voice without you correcting it every time.
It remembers your key clients, projects and preferences across sessions — you don't repeat the same context every conversation.
At least one recurring task in your week runs on its own, without you kicking it off manually.
It's connected to at least two of the tools you actually work in (calendar, email, docs, CRM).
You have clear rules for what it can do on its own vs. what needs your sign-off — and it respects them.
It can complete at least one full workflow end-to-end, not just help with one step.
When it doesn't have information, it asks — instead of inventing something plausible.
You've defined what "good output" looks like for the tasks it does, and it hits that bar most of the time.
You could hand it over to someone on your team tomorrow with a page of instructions, not weeks of training.
You spend less time with it than you did six months ago, not more — the setup is running, not being tinkered with.

What this actually looks like in practice.

One anonymized example — an owner who came in using AI for email drafting, and where the setup was six weeks later. For the bigger picture, see how a one-person company runs on AI.

Service business · ~400 transactions a year
From "help me write this email" to a working system in six weeks.
Week one, AI was helping draft one email at a time — same starting point as most people. By week six, the setup was handling client-facing quote generation as a full workflow, running a weekly reporting routine on its own, and pulling client context automatically from where it lived. The person didn't learn to write better prompts. We changed what AI knew about the business and how it was allowed to act — everything else followed.

Start with one call. Decide the rest after.

Everyone starts the same way — a paid diagnostic call. You leave with a clear picture of where your setup sits against the framework above, and where the highest-leverage changes are.

What this isn't.

Same honesty pattern I use with every student — you should know what you're not getting, not just what you are.

This is
  • A structured way to set up AI as a working colleague
  • Focused on your actual workflows, tools, and standards
  • Built around the four capability areas above
  • Anchored in real 1:1 sessions, not a course you skim
This isn't
  • A prompt-engineering tips list
  • A ranking of which AI tool to buy
  • A productivity-hack thread
  • A course you consume alone and hope will stick

Questions people ask first.

Which AI tool do I need to be on?

Whichever you already use is a fine starting point. Most of what this teaches applies across ChatGPT, Claude, Gemini and Copilot — the setup work is where the leverage is, not the tool choice. If you're on none of them, we'll pick one on the diagnostic call.

Do I need to be technical?

No. Most students don't write code, and neither do I. The whole point of this framework is that "how you set AI up" is a design and workflow question, not an engineering one.

What if I already use AI a lot — is there more to learn?

Take the self-assessment above. If you scored 7 or higher, we're likely into refinement rather than foundations — worth mentioning on the diagnostic call so we spend the time on the right layer.

What happens after the diagnostic call?

A written recap either way, including where your current setup sits on the four skill areas and the two or three highest-leverage changes to make first. If it makes sense to continue, we agree what that looks like. If it doesn't, you still leave with a clear plan.

One call is enough to know exactly what to fix first.

50 minutes, 49€, and a concrete plan at the end of it — whether we work together or not.
